Hidden chatbot costs to check before you sign

  • AI sold separately. Tidio's Lyro (from about $39 a month, conversation-metered), Zendesk's AI agents, Freshchat's Freddy AI and Tawk.to's AI are all add-ons. Ask for the price of the plan with AI answers switched on at your volume.
  • Seats. Per-seat tools charge for everyone who might answer a chat, including the owner checking in at weekends. Two seats at Intercom Essential are $58 a month before AI; Vatdi and Tawk.to do not charge per seat, and Crisp prices per workspace.
  • Branding removal. Free plans show the vendor's badge. Tawk.to charges an add-on to remove it; Vatdi removes it on Starter ($4.49) and Grow ($7.49).
  • Overage. With per-resolution and ticket-bundle pricing (Fin at $0.99 per resolution, Gorgias ticket tiers) a good month for sales is an expensive month for support. Ask what happens at the cap: top-up, forced upgrade, or the bot stopping.
  • Onboarding and implementation. Enterprise suites and agencies quote onboarding separately. Self-serve tools do not; Vatdi has no setup fee.

What you pay for is the cap on how much can be indexed. Chatbot agency pricing: custom builds versus subscription software

Agencies and freelancers quote chatbots as projects, and the ranges are wide. Small custom builds, typically a scripted bot on one channel with a few integrations, are quoted as short fixed-scope projects; builds that connect an order system, a CRM and several channels run far higher, and enterprise programmes are priced like any software project. The quote often leaves out three recurring costs: hosting, the LLM API usage the bot generates, and a maintenance retainer for when products, policies or the model provider change.

Custom is the right call for a genuinely unusual requirement: a proprietary back-office system with no plugin, a regulated conversation reviewed step by step, or a channel no subscription tool covers. It is the wrong call for the common case, answering product, shipping, returns and order-status questions on a website, which subscription tools already do for $0 to $100 a month. The test: if you can describe the job in one sentence and the data already lives in your store or site, buy rather than build.
