How to Train a Chatbot on Your Own Data

Your catalog, your pages, your documents and your FAQs — indexed once, answered from every time

Training a chatbot on your own data means giving it your product catalog, website pages, documents and FAQs, then letting it answer only from that material. With Vatdi that takes five steps and no code: connect the store or add your website address, upload the files you already have, type or import your FAQs, test with real customer questions, and publish the widget. Answers come from what you provided, not from general internet knowledge.

Step-by-Step Guide

  • 5 steps
  • No developer needed
  • Works on the free plan
  1. Step 1

    Create a free account

Sign up at vatdi.com and add your store. The free plan includes training on your own data; no card is needed.

  2. Step 2

Connect the store or add your website

On WordPress, WooCommerce, OpenCart, Shopify, PrestaShop, Magento, Shopware, Joomla or Drupal, install the plugin and your product catalog syncs automatically. On any other platform, paste your website address and Vatdi crawls the public pages.

  3. Step 3

    Upload documents

Add PDF, Word, TXT, CSV or Markdown files up to 10 MB each — size guides, shipping policies, warranty terms, price lists, manuals. Each file is split into passages and indexed within minutes.

  4. Step 4

    Add your FAQs

Type question-and-answer pairs in the dashboard or import them from a spreadsheet. FAQs are the fastest way to fix a question the chatbot got wrong.

  5. Step 5

    Test, then go live

Ask the questions your customers really ask and read the answers. If something is missing, add the page or file it should have used. With a plugin the widget is already on your store; elsewhere, paste the one-line embed code.

What the chatbot can learn from

Vatdi indexes four kinds of content, and most stores use all four:

  • Product catalog — names, descriptions, prices, options, stock and categories, synced by the platform plugin and refreshed when products change.
  • Website pages — shipping, returns, sizing, about and policy pages, crawled from the address you give.
  • Documents — PDF, Word, TXT, CSV and Markdown files up to 10 MB each.
  • FAQs — question-and-answer pairs you write yourself or import from a spreadsheet.

Everything you add is stored for your store only. Nothing from one store is ever used to answer a visitor on another.

How the training actually works

The chatbot is not retrained as a model. Instead each product, page, file and FAQ is split into short passages and converted into embeddings — numeric fingerprints of meaning — stored in a vector index for your store. When a visitor asks a question, Vatdi finds the passages closest in meaning to the question and hands only those to the language model, which writes the reply from them. This is called retrieval-augmented generation (RAG).

The practical consequence: the chatbot can only say what your content says. When nothing relevant exists, it tells the visitor it does not have that information and offers to hand over to your team, rather than inventing an answer. Where a product or page is the source, the reply links to it so the visitor can check for themselves.

Keeping the knowledge current

Catalog changes need no work from you: the plugin pushes new, updated and removed products to Vatdi and the index follows. For pages and documents, re-add the page or upload the new version of the file whenever it changes; the previous passages are replaced. You can also switch any item off from the dashboard without deleting it, which is useful for seasonal policies.

The most reliable maintenance habit is to read the conversations once a week. Every question the chatbot could not answer is a gap in your content — add the missing FAQ or page and the next visitor gets a proper reply.

Frequently Asked Questions

PDF, Word (DOC and DOCX), TXT, CSV and Markdown, up to 10 MB per file. Website pages are added by URL and product data comes through the platform plugin, so most stores never need to export their catalog to a file.

Yes. Your content is indexed for your store only and is never used to answer visitors of another store. You can delete or switch off any item from the dashboard at any time.

Uploaded documents and FAQs are usually available to the chatbot within a few minutes. A full website crawl or the first catalog sync depends on how many pages and products you have, and you can watch the progress in the dashboard.

Not for products — the plugin keeps the catalog in sync automatically. For pages and documents, re-add the page or upload the new file and the old passages are replaced.

It says so and offers to hand the conversation to your team instead of guessing. The unanswered question appears in your conversation log, which is the cue to add the missing FAQ or page.

No. Every feature, including training on your own data, is available on every plan. Plans differ only in the number of conversations per month and in whether the Vatdi badge is shown on the widget.
